E-filing experience in California, both state and federal court; record and track deadlines through docketing and calendar system; setting-up mail merges, proof and finalize correspondence and pleadings; prepare orders/depo notices/stipulations for dismissal and routine macros; prepare notebooks for depositions, hearings, arbitrations, mediations, and trial; name, save and print documents from our iManage system; perform various litigation assistant duties; heavy document management organizational skills; assist multiple attorneys; and trial preparation. Legal Secretary

Northern California Office

WSHB has an opening for a full-time legal secretary for our Northern California office. Qualified candidates must have at least 3 years of recent and relevant experience. Qualified candidate will be responsible for completing all assignments for 3 - 4 assigned attorneys and provide additional office support as needed. Daily assignments vary but will include basic drafting of documents, formatting, filing documents with various courts, completing proper service of documents, arranging court reporters and calendaring all case events. Litigation Assistant

Northern California Office

WSHB seeks a full-time litigation assistant/file clerk for our Concord office. Must have 1+ years of filing or office/admin experience. Prior legal background is a plus. The litigation assistant will be responsible for all day-to-day filing related duties. Additional responsibilities include, but are not limited to, sorting and filing legal documents, creating and updating file indexes in document management system, maintaining file room and all case file drawers and tracking open and closed cases. Litigation assistant will arrange for sending and retrieving closed files to and from off-site storage. Other duties include updating binders, conference room set-ups, lifting and moving boxes of approximately 20 - 40 lbs., keeping general office areas organized and assisting attorneys, paralegals, and secretaries with various projects as needed. Litigation assistant will assist our office services clerk by covering tasks such as monitoring printers for supplies daily, light kitchen clean-up, CD/DVD duplication, scanning documents and saving to the system. WSHB seeks an Administrative Clerk for its Portland, OR office. Position responsibilities include the following. Assist with document management, file organization, and e-filing documents. Assist with trial preparation (putting together trial binders, etc.) Responsible for preparation of new client files. Assist attorneys and staff with daily administrative tasks. Answering phones and general reception. Greet clients and guests in a professional manner. Replenish work stations with supplies and printers with paper. Assist with daily incoming and outgoing mail. The primary focus of this position is to enhance attorney effectiveness by providing information-management support. A successful applicant must be able to prioritize workload to meet deadlines and client needs in a fast paced environment. Essential include producing information by formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Must be able to redline and format large documents. Conserves attorneys time by reading, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents. File documents with state and federal courts. Maintains files of correspondence and other records. Maintains attorney calendar by planning and scheduling meetings, teleconferences, and travel. The experience required includes the ability to type 50+ WPM. Proficiency in Microsoft Office 2013, Adobe Acrobat, and Outlook. Organizational skills to work independently and meet deadlines in an atmosphere of frequent interruptions. Communication skills to interact with all levels of internal staff, attorneys, management and external clients of the firm.
